Job Description

POSITION SUMMARY

The Bookkeeper is responsible for owning Mr. Trim LLC's invoicing, accounts receivable, accounts payable, and job cost tracking, giving ownership accurate, timely financial records and freeing leadership to focus on running and growing the business.

ABOUT MR. TRIM LLC

Mr. Trim LLC is a family-owned finish carpentry company based in Charleston, South Carolina, trusted by builders and homeowners throughout the Lowcountry for precision craftsmanship and timeless detail. The company specializes in high-end interior trim, custom millwork, cabinetry, built-ins, and closets, with the majority of its work delivered in partnership with residential builders. Guided by the core values of Accountability, Excellence, Discipline, Collaboration, and Integrity and Honesty, Mr. Trim LLC builds trust through clear communication, close collaboration, and an uncompromising commitment to quality on every project.

SUCCESS LOOKS LIKE

  • All builder invoices are created accurately and sent on a consistent weekly schedule, fully removing invoicing from Lucas's plate and eliminating backlogs from prior weeks of field work.
  • Accounts receivable are current, with past-due balances followed up promptly, builder checks collected on time, and days sales outstanding trending down month over month.
  • Every purchase and vendor bill is recorded and allocated to the correct job, giving ownership a clear, reliable view of job costs and profitability across trim and cabinet work.

OBJECTIVES

  • Create and send accurate invoices to builders and homeowners on a weekly cadence, based on completed work across trim and cabinet crews.
  • Gather and verify work completion details from Lucas, Tiago, and field leads so invoices reflect the correct jobs, phases, and amounts for work performed by roughly 25 field employees.
  • Manage accounts receivable, tracking open invoices, following up with builders on outstanding balances, and chasing checks until payment is received.
  • Record incoming payments and prepare deposit information in coordination with Jennifer.
  • Track, organize, and enter all vendor bills, and schedule vendor payments so bills are paid accurately and on time.
  • Track Tiago's material and supply purchases for cabinet operations, collect receipts, and allocate each purchase to the correct job.
  • Maintain job cost records for labor, materials, and expenses so ownership can see cost and margin by job.
  • Reconcile bank and credit card accounts monthly and resolve discrepancies promptly.
  • Maintain organized, up-to-date records in the company's accounting software, including the customer, vendor, and job lists.
  • Prepare weekly AR aging, AP, and job cost summaries for Lucas and Tiago.
  • Support Jennifer with payroll-related records and documentation as needed to keep financial information consistent.
  • Collect and maintain vendor W-9s, builder documentation, and certificates of insurance, and support year-end and tax preparation with the company's outside accountant.
  • Identify gaps in invoicing, purchasing, and job tracking processes, and recommend simple systems that improve accuracy as the company grows.

COMPETENCIES

  • Highly detail-oriented, with a strong commitment to accuracy in every number and record.
  • Organized and disciplined in managing recurring deadlines and high transaction volume.
  • Persistent and professional in follow-through, comfortable holding builders accountable for timely payment.
  • Self-starter who works independently and takes full ownership of the financial function in a small office.
  • Clear, courteous communicator with builders, vendors, field leads, and ownership.
  • Process-minded, bringing structure and simple systems to manual or disorganized workflows.
  • Trustworthy and discreet in handling sensitive financial information, reflecting integrity and honesty.
  • Collaborative team player who partners closely with ownership and office staff.
  • Analytical, with a practical understanding of how costs and job allocation drive profitability.

EDUCATION AND EXPERIENCE

  • Associate's or bachelor's degree in accounting, finance, or business preferred, or equivalent bookkeeping experience; Certified Bookkeeper or QuickBooks Certified User credentials are a plus.
  • 3+ years of full-cycle bookkeeping experience, including invoicing, accounts receivable, accounts payable, and job costing, ideally in construction, trades, or a builder-facing business.
  • Proficiency in QuickBooks or comparable accounting software, along with Microsoft Excel or Google Sheets, and the ability to learn the company's selected platform quickly.
  • Strong written and verbal communication skills, with the professionalism to manage collections conversations and build positive relationships with builders and vendors.

PHYSICAL REQUIREMENTS

  • Full-time, office-based role supporting Mr. Trim LLC in the Charleston, South Carolina area, working Monday through Friday on Eastern time.
  • Primarily sedentary work, including extended periods of sitting and computer use, with occasional lifting of up to 15 pounds for files and supplies.
  • Regular use of a computer, accounting software, phone, and standard office equipment; occasional local errands, such as bank deposits, may be required.

COMMITMENT TO DIVERSITY

As an equal opportunity employer committed to meeting the needs of a multigenerational and multicultural workforce, Mr. Trim LLC recognizes that a diverse staff, reflective of our community, is an integral and welcome part of a successful and ethical business. We hire local talent at all levels regardless of race, color, religion, age, national origin, gender, gender identity, sexual orientation, or disability, and actively foster inclusion in all forms both within our company and across interactions with clients, candidates, and partners.
